Description of the contract:
The Head Offices of Hanover is in Edinburgh and requires an office cleaning service. Hanover?s Head Office is based at 95 McDonald Road, Edinburgh, EH7 4NS and accommodates c.100 staff which includes
HQ Departments, East Area Office, Telecare Service and McDonald Road Conference Centre which caters for internal and external events.
The premises are in daily use, eg Monday to Friday with occasional use at weekends if there are events in the Conference Centre. The three specific areas of the business which should be noted:
General offices ? Office hours are 0900-1700 hrs and staff have access between 0700 hrs and 1900 hrs. It is proposed that general cleaning of the offices will be between 1900 to 2100 hrs.
Telecare Centre ? The Telecare Service is operated from 95 McDonald Road and is a 24 hour service operated 7 days per week. This area therefore requires a daily cleaning service which includes
Saturday and Sundays.
Conference Centre ? the cleaning of this area will be based on the programme of events, details of which will be advised on a regular basis.
Additional cleaning above the Clients scheduled requirements may be required. The Client requires and expects a high quality service that is cost effective, reliable and flexible.
The service will be required from early November 2011 and will be for an initial period of one year with an option for the Client to extend on a month to month rolling basis for a further 6 months up
to April 2013. The reason for the short term arrangement is to allow the Client to undertake a review and option appraisal of all cleaning and associated services across the organisation with a view
to developing a Facilities Management Strategy and an option for other similar bodies within the sector to join a future contract.
There was substantial interest in this tender exercise, 50 notes of interest and 17 bids were submitted and included in the tender evaluation. The prices ranged from #19,400 to #35,500. The bids were
all assessed against the weighted criteria provided in the ITT which had a balance between cost and quality.
