letter to quote.

hi
hope everyone is ok,
just got some inside info on a largeish office cleaning contract.
aparently the cleaning standards are not as what they should be and the client is getting peed off.

I want to send a letter asking if i could quote, but i dont know how to word it.

I have got as far as " dear......my name is........from.............. I am interested in providing you with office cleaning services at your...........building."

I dont know where to start. Any help is gratefully appreciated.

That's a good start.  ;D

I'd give a brief history, such as how long you've been in business, current customer base (number, not names), what distinguishes you from everyone else and a bit of flattery as to how you would love to add their business to your portfolio.

End it with a promise to call within x number of days and follow that up.

Brief and succinct.

And run it through a spell checker!!

That's how I'd do it, anyway.

This is part of my letter to potential customer:

I am writing to you as I would like to introduce you to our company A & J Cleaning Services.

Since the business started …. ago, our service has been very popular among our domestic and commercial customers and we are looking for more work of this nature to help expand our business.

We can do all the essential cleaning jobs which your office would require.  Our typical charge is £…. per hour.  We can either work using your existing cleaning equipment and materials, or provide our own at an extra cost.  We are honest, committed and hard working people who pride to provide an excellent service.  References can be obtained from:........................

To discuss your requirement, please contact me by phone or post, my contact details are on the top of this letter. 

I look forward to hearing from you.

Yours ...

Remember English is not my first language, but I would welcome any constructive criticism regarding wording, expression and etc.

I hope my example may help you to write your own introductory letter.

A short phone call to the company, asking who deals with cleaning contracts, will help you address the letter to the right person.

Make sure that you follow up with a phone call after a few days. Offer to call to view the premises to be cleaned.

If you can meet with the right person in the client company, they will choose you as a person first and as a business second. Don't spend the time "slagging off" the existing cleaners, rather explain what you can do.

Asking the client about existing problem areas might give you the chance to explain why you can do a better job in these areas (like your equipment is newer/more powerful) but it is much better to concentrate on your strenghths than on a competitor's weaknesses.

I phone the ever so helpful (not) receptionist, and got the fellas name, so he would have the letter by now, I would phone him direct but they wouldn't give me his number. I'll have to do some digging around i think, see if i can by pass the receptionist.  :)
