keep those cheque numbers

Had a letter from my bank this morning informing me that they had debited my account for £75. They said that the cheques written down on the paying in slip did not match the number of cheques presented.
They have lost £75 worth of cheques.
Lucky for me I note all cheque numbers and names of payees with the amount. I was able to send them details of the missing cheques.
It just goes to show they do make mistakes, I would have lost that money if I had not kept the details. Dai

Good thinking Dai.  I photocopy every cheque that goes into my business account (6 per A4 sheet when I use both sides).  I do this because occasionally a customer has said they have paid when they haven't.

Shiner,   your customer could still say that they paid but that you did not photo copy it!

Of course they could say that.  I would then ask them to look up their cheque number on the stub.  From there, they could check their bank statement to see if it had been banked.  OK, I acknowledge that this would not work if someone is genuinely wanting to cheat me but if someone was sincere about paying, they would check those details.  I had someone do this once and they were quoting the cheque number of the *previous* clean.  When I gave them the date of the *unpaid* clean, it turned out they were on holiday at the time.  A neighbour had been looking after the place, picking up mail etc (mail was visible through a glass panel and they didn't want it to be obvious they were away).  It turned out that the neighbour had been dumping junk mail and must have mistaken my bill as such.  They happily paid up.  It is important to get them to check the statement because, rarely, a cheque may misdelivered or lost in post.  If they still insist they have paid after those checks when I know they haven't, a customer becomes an *ex* customer.

I keep a full record of all postal and BACS payments received on a separate sheet.

I now also give a list of all cheques being deposited to the bank with the paying in book as there is never enough room on the back of the paying in slip (got 85 cheques to bank on Monday!)

Had a £21 cheque for window cleaning bounce on me last week, the lads had taken it at the door as payment when they were cleaning, no cheque guarantee number on the rear.

I now make sure that all cheques have at least the address on the rear just so I can follow them up.

I got to the bank H.S.B.C 5 mins after the counter closed. A member of staff paid [or so I thought] the cheques into the paying in machine. I have never used one so it was all new to me. Obviously she did not put all the cheques through. DAI
