This is what I used, which was passed on to me by another member............not sure if its what you are looking for. Handed it to custys on change over, and haven't lost one...........................yet !!!...lol

Dear Customer

Due to the recent E.U. ruling, regarding Health & Safety working at height with ladders, it is harder for us to justify using them for window cleaning when new methods are now available. We are now using a pure water pole wash system. We have been using it now for quite a while on other properties with success and will be using this system for all upstairs windows.
Because the water in pole fed systems is left to dry on its own, it needs to be very pure so no spots or smears are left. To ensure this level of purity is achieved a number of water-treatment processes are used. The water we use in our pole system is manufactured using a multi stage system and utilises the latest reverse osmosis process finished off with a de-ionisation filter giving water that is over 99.999% pure.
A typical water reading of tap water in this area is around 300-350 parts per million of dissolved solids. These dissolved solids are the cause of spots left on your windows when using tap water. The water we use is tested every day and our filters are changed  when the reading becomes higher than 4 parts per million. Looked at it another way the cleanest tap water is 75 times more impure than our most impure pole wash water

There are many advantages to using this system: -

The Pure Water Pole System cleans more efficiently than conventional   methods.
Your windows dry cleaner if it rains shortly after we have cleaned them.
Cleans Windows, Atria, Panelling, Canopies and Facia to a spot free Finish.
Operators work from the Safety of the Ground.
Eliminates the need for Ladders and High access equipment.
Reaches previously inaccessible windows, conservatory roofs etc.
Environmentally friendly, no detergents or chemicals are used.
Easily reaches windows over lawns and flower beds. No more standing on your   garden to clean windows
No detergent residue means that windows stay cleaner for longer.
Cleans frames at same time as glass.
 Reduces disturbance and maintains privacy.

A problem we have found when cleaning windows for the first time after a trade clean (washer and squeegee) is that the pure water leaches dirt out from under seals, thus drying with slight spotting.
Whilst this is not normal it is not unusual, and is generally gone by the second or third clean, so please try and be patient if this does occur, as the problem will rectify after the second clean.

You will also notice that the window will remain wet for a period of time with some water droplets. These droplets will dry clear due to the pure water technology process that we have in operation.

The use of the system is to prioritise the health and safety of individuals involved in the window cleaning business as the industry is now considered to be one of the most responsible for injuries and deaths from the use of a ladder.

Thank you for your understanding, and hope that we may continue to provide you with our reliable service on the basis that this system is being introduced with our safety in mind.

If you have any queries about this type of window cleaning please feel free to give us a ring.

    Thank You  xxxxxxxxxxxxx

Please note:

We have been advised by some of our new customers that results from previous window cleaners using this method have left smears and runs and have been apprehensive about its use. This unfortunately is down to the operator of the system and neglect in the filtration method and not the system itself. Used correctly this method of window cleaning will give clean and smear free results.
Those customers are now happy with the results we achieve, and we welcome any feedback. So please advise us of any points, good or bad you may have about our service and the system in use.

We are happy to refer you to ANY of our present customers in order to maintain our reputation.
If Carlsberg made window cleaners....I'd be one of them....lol

I can see where you're coming from with the letter but don't you think it's a bit long winded?
Also the trade? (I think you mean trad) bit needs to be changed.

yh, to be fair, it is rather looooooooooooooooong, but I only used them if custys questioned it. Turning up with an applicator and squeegee one day then a pole system the next took a few by surprise. These were printed at home in my own time.................rather than standing on the doorstep wasting working time trying to explain it to the custy.....which led to question after question...........and its hard to be rude and say "look can you just shut up, I want to get on"...lol. I just said "If you'd like to read this, it explains it all", and then just started work.........and they seemed happy with this. Everyone to their own I suppose  ;D

This is what I use.

                                 CMS WINDOW CLEANING

The Water Fed Pole System

Dear Customer,

Your windows will be cleaned shortly using a method that will soon become the industry standard – The Water Fed Pole System
The system uses extendable poles and 100% pure water that has been purified through reverse osmosis & de-ionization vessels.

We are now using this technology for a number of reasons:

1). BETTER CLEANING RESULTS – The major advantage of pure water is that it absorbs large amounts of dirt from your windows. The process involves brushing your windows clean with pure water; as such they will be left wet and will need time to dry naturally. This may be a bit disconcerting at first, as obviously this is not what our customers are used to. However, once dry your windows WILL be clean and smear free.

2). HEALTH & SAFETY – A new legislation from Europe now limits the use of ladders. The law now states that ladders can only be used when all viable alternatives have been considered, and now The Water Fed Pole System is seen as a safer and more viable alternative for window cleaning.

3). ENVIRONMENTALLY FRIENDLY – Only pure water is used, eliminating the need for detergents and chemicals.

4). IMPROVED SERVICE – We can now reach with ease previously inaccessible aspects of your property. Hard to reach windows above conservatory’s, Third floor windows, skylights, etc…

Please note that if your windows have been cleaned in the past using detergents or chemicals it may take 2 or 3 visits using our Water Fed Pole System to remove soapy residue, this may result in minor spotting on your windows. However please be assured that once this is cleared you will be more than happy with the results.

My aim is to continue to provide a high level of service. Please feel free to contact me if you have any questions or concerns regarding the above or any other aspect of our services.
                                                    Thanks Chris.

Surely the use of these explanation letters (the shorter one is better IMO) can only be good ?  I can see no problems arising from sending out the letter, but plenty of positives.
Surely it helps to educate the customer, and avoids complaints and losing customers simply because they don't understand why you've switched to what they might see in their lack of knowledge as a lazy, poor, or odd way to clean their windows.

Yes but I live in the South and most of my customers are middle class and literate, I find the letter answers what I'm usually asked if I don't give them one.    ;) ;D

Pure-Water-fed Pole Window Cleaning.

Dear Customer,

We are now using this technology to clean your windows for a number of reasons:

1). HEALTH & SAFETY -- A new legislation from Europe now limits the use of ladders (The Working at Heights Directive). This law states that ladders can only be used when all viable alternatives have been considered, and now as The Water Fed Pole System is seen as a safer and more viable alternative for window cleaning Insurance companies are reflecting this in their premiums and terms and conditions.

2). BETTER CLEANING RESULTS -- The major advantage of pure water is that it absorbs large amounts of dirt from your windows. The process involves brushing your windows clean with pure water. As such, they will be left wet and will need time to dry naturally. This may be a little disconcerting at first, as obviously this is not what most customers are used to. However, once dry your windows WILL be clean and smear free. In addition the window frames will also be cleaned more thoroughly and on every visit.

3). ENVIRONMENTALLY FRIENDLY -- Only pure water is used, eliminating the need for detergents and chemicals.

4). IMPROVED SERVICE -- We can now reach those previously inaccessible aspects of your property. Third floor windows, hard to reach windows, skylights, conservatory roofs etc.

Please note that if your windows have been cleaned previously using detergents or chemicals it may take 2 or 3 visits using the Water Fed Pole System to remove soapy residue, this may result in minor spotting on your windows. However, please be assured that once this is cleared you will be more than happy with the results.

As a company our aim is to continue to provide a high level of service. Please feel free to contact us if you have any questions or concerns regarding the above, or any other aspect of our service.
