Doing my first office quote. Have the costings, but what do you actually send to the client. Is it 1 figure to include all costings or broken down into labour, consumables equipment etc, and is it load out on 1 page?....Gary

I just send out the overall costings on a PCM basis.

Think you might want to make a bit more of an impression. But perhaps not.

I would include the following:

Brochure

On your company. If you don't have that. What about at least an introduction about your company and your services... maybe a reason why they should choose you as their preferable cleaning contractor.

Any relevant qualifications such as BICsc etc.

Insurance Details

This is your public & Employers liability

Proposal

cleaning specifications - scope of works

Your T&C's

Quote

Costings - depends on how you present these. Monthly - Yearly - Complete Breakdown.

Once done deliver by hand - does not have to be to the person you met with handing to the receptionist is fine. Makes a good impression.

Dave, thanks for that. I have done some carpet cleaning, then toilet cleaning for this company, so the want it done on a regular basis. Do you charge extra for cleaning toilets,or the same as offices. What do you include in T&C, and is it 1 costing or broken down.

The funny thing is sending brochures telling them all about yourself is not what they want

They don't care about you the only thing they want is clean offices

Not what you do but what the result will be

Let's see ask an accountant what he does and he may say "I do accounts for big firms who all say how good I am and I use the latest programs, we are biggest and best"

or

I help firms to pay less tax

So instead of telling them all about where you come from etc tell them what they will get once you have finished

Are you available for a quick chat tomorrow?

If so I will email you my number and try and help as best as I can.

We clean office, lots of them. There is no wrong way to do quotation. It just depends on whether if you want to make an impact.

However reading your post again - I'm very tired just got back in.. As you have worked for them before you wont need to do anything flashy as you have your foot in the door.

Do you know the size of the offices? As a rough guide it takes about 1 hour to clean 1500 - 2000 square feet.

Lets say there's 2 hours a night that's £11.50 per hour. £115 per week £6555 per annum. + VAT

Just as a guide you have to work out YOUR expenses - but any more you will be beat on price.

i like the idea of brochures as it's a good way to show other services you do which the client may be interested in and hadn't realised you do.

towerbuilding services is a good brochure.

Yes something along those lines of your company. Gordon is right sometimes all they want is a clean office. But I believe you should market your company at every opportunity.

We only had a client last week getting carpet cleaning quotes from other companies. I knew this as I saw the vans. So I asked them why did we not get a chance to quote. His reply was I never realised you did it Dave.

So I said yes we do and we are pretty good and I can certainly beat the quotes as you have given us so much work.

He said just do the job and send the bill! Sell your services.

When you give a quote for cleaning offices. Do you take into account travel costs?
