Employee Holiday

Hi Everyone,

Can someone suggest ways in which to keep a good record on staff holidays throughout the year? Also, if my staff are doing different hours per week throughout the year, how do we correctly allocate them holiday or hopliday pay?

I normally pay my staff any unpaid holiday at the end of the year but it's a task remembering what they've done throughout the year. This is one aspect of my company I'm looking to improve and to be done more professonally.

Any advice would be great!

I have a spreadsheet which I use to calculate holiday pay entitlement for staff working irregular hours.  I can email it to you if you drop me a line via my website.

I also only pay them the holiday they have accrued.

I find this downloadable year planner to be excellent for recording holidays, just print one off for each employee.

As for calculating holidays and holiday pay, there is good information on  the Business link website, but if your staff work variable hours then is should be calculated on their last 12 weeks work/pay

Could you email the spread sheet to me, I have been pulling my hair out about the irregular hours that I give some of my staff for event cleaning or builders cleans gilbert.sprous@tcc-eastmidlands.co.uk

Why can't you put the holiday pay on top of hourly rate then when they go on holiday or even leave you owe them nowt

There is some contradiction around "rolled up holiday pay"

1) Following a European Court of Justice (ECJ) judgment on 16 March 2006 and more recent judgments in UK courts, Rolled-Up Holiday Pay (RHP) is considered unlawful and payment for statutory annual leave should be made at the time when leave is taken - berr.gov.uk

2)Rolled up holiday pay may be against the law unless your holiday pay is paid on top of your basic pay and it's clear what the amount of rolled up holiday pay is - adviceguide.org.uk

Personally, I'd rather pay them what they've accrued when they take time off rather than pay them it inclusive and run the risk of a tribunal.

I've sent spreadsheet to those requesting it.

I thought inc hol pay in their hourly rate was a no no.

Everyone is entitled to min 24 days per year.

I pay mine as they take them, but if no holiday taken in a quarter period then they get 6 days holiday entitlement at the end of that quarter.

The entitlement is the average hours they work per week over that quarter period ie add all the hours and divide by 13. That will give you 5 days holidy pay ie 1 week. Multiply this by 1.2 (or add 20%) to get to 6 days hol pay.

I just keep a simple spread sheet for a calender month showing days - hours worked.

Use the back of this sheet to work figures out, so it easy to see who has been paid holiday pay and when.
